Istead were contacted by the CEO of the Sport Positive brand as we had impressed them with our event production in a previous role they held some years ago.

The Sport Positive team were organising their ever-growing annual summit in London and asked Istead AV if we would partner with them as their AV production supplier.

The event brings together global contacts in the sports community to help concentrate their minds in achieving sustainability, biodiversity and minimizing the impact of sporting events and venues on the global climate.

With representatives from high profile groups including the United Nations, the International Olympic Committee and numerous sporting clubs and venues from across the world, we understood that this event would need to be produced at a high level, with full AV support across multiple rooms at The Kia Oval Cricket Ground in London. The event was to be attended by over 500 delegates, using a main plenary room and six stream rooms, all with custom branded backdrops, staging and AV. With a global audience interested in the content, the need for live streaming was also an essential requirement.

In the planning stage of the event, our event producer Stuart Walker attended site meetings with the event director to discuss ideas and concepts. Using visuals created by our inhouse graphics team we were able to demonstrate layouts and the positioning of the various elements that would make up the branded backdrop and staging so that all stakeholders had a clear idea of the audio visual element of the summit.

Working on such a large project, the plans were constantly amended to address the changing needs and technical requirements of each room, along with regular budget updates reflecting the recent developments.

The Future of Sports Delivered

On the event build day we brought together a crew of over 20 technicians who had been briefed on their specific role for the event so their productivity during the day was maximized. The meticulous pre-event planning with the venue ensured our four lorry loads of equipment all arrived on schedule and worked seamlessly with the many other suppliers arriving onsite for their elements of the event.

As one of the stream rooms was to be used by the United Nations for a supplementary conference on the build day, our crew prioritised the setup of that room so that full tests could be completed before we started the live stream that was beaming the event around the world on a two-way broadcast.

Whilst the remaining rooms were finished in the afternoon, our media team ran through the slide content with the Sport Positive team to ensure nothing had been overlooked and that the experience for the event’s numerous presenters would be trouble-free and that their presentations would be on screen at the press of a button when required.

Audio Visual Production

Throughout the Summit our crew of audio visual experts assisted the presenting teams in each stream room to ensure their powerful messages on how sport can be brought to the masses in a sustainable way was clearly seen and heard.

At the end of day one of the Summit, the main room had a brisk turnaround for the Sport Positive Awards. We adapted the backdrop, technical facilities and parts of the room dressing to match the event branding and used 16 high power moving lights to create a dynamic award’s ambience. During the evening the event recognized the impressive work and commitment of sports clubs and groups from the across the globe who are promoting the event’s goal of sustainability and diversity.

Day two of the Summit had more of a collaborative ideas theme, where themes would be presented on stage and then discussed in group working. Our AV was adapted to support the open discussion style with more audience microphones and enhanced room lighting.

At the close of the event, our convoy of equipment lorries returned to collect all the AV kit and staging and, as is usual at the end of our events, our crew collected up all the screws, gaffa tape and cable ties that we used during the summit as appreciation to the venue for hosting us for three days.
